Creating and configuring an organization

Your own workspace, time zone, members and the owner's responsibilities.

When to create a new organization

Create a separate organization if a group needs its own library, memberships, responsibilities and subscription. An optional internal team groups work within the same organization. Do not create a second organization just for one performing lineup if it should use the same materials.

An account can belong to several organizations. Resources in one do not automatically become visible in another. Before creating one, check whether the organizer has already invited you to an existing workspace. This avoids accidentally separating people and repertoire.

Initial setup

An organization can operate without internal teams. The current model does not require every person to be assigned to a team or section. Add structure when it helps planning, rather than as a mandatory technical step.

  1. Choose to create an organization in the available web app form.
  2. Enter a recognizable name and check the language and time zone settings.
  3. After creation, open organization settings and verify the details.
  4. Prepare your first event template and basic materials.
  5. Invite people, granting the minimum permissions they need for their work.

Time zone and dates

The organization's time zone matters when calculating invitation and reminder times. Set the actual working time zone, especially if participants travel or sign in from other countries. Also check event dates and times on each event's own screen.

Changing the organization's time zone is not an instruction to move all events. It may change how schedule times are interpreted, but saved start instants remain the same instants. After a change, check the specific sending times in upcoming events.

Ownership is a separate responsibility

The actual owner has full control over the organization and actions reserved for ownership, including membership and subscription management. A role with broad permissions does not automatically transfer ownership. When the person in charge changes, use the appropriate transfer operation.

Before transferring, make sure the recipient has an active account, the correct address and understands their responsibility for data and billing. Afterwards, check the new owner in the list. Simply editing a role's name does not replace this process.

Delete an organization

Deleting an organization is permanent and includes its shared resources. Do not confuse it with archiving an internal team or removing one person's access. Before confirming, check the organization name and the description of the data being deleted.

If your aim is to end your responsibility, consider transferring ownership. If you want to tidy unused songs, use the library archive. Do not assume you can restore an organization yourself after deleting it; the availability of technical backups is not an undo button.
