Creating and editing events

Templates, titles, dates, times, duration and safely saving changes.

One event, one specific date

An event stores a program and lineup for a particular date and time. In the latest model, a new event uses a selected template; the organization also has an empty default template. An empty template lets you start the program from scratch.

The template supplies the initial program, lineup, duration and reminder rules. The resulting event is an independent copy. Changing the template the next day will not automatically add items to an event already created. Update the mobile client if it still shows the earlier distinction between types and templates.

Create an event

  1. In Plans, choose to add an event or use “+” beside a calendar day.
  2. Choose a template suited to the meeting.
  3. Enter the date and start time, checking your device's local time zone.
  4. Check the duration suggested by the template and change it if needed.
  5. Enter your own title or keep the automatic one if the form supports it.
  6. Save and open the details to verify the program and lineup.

Automatic and custom titles

An automatic title may include the local date, time and template name. It helps distinguish a series of similar events without typing a name every time. A custom title deliberately describes a particular date and remains separate from the template's name.

A good title is short and recognizable to participants. Put detailed organizational notes in the program or a message. Do not put private contact information in a title that may appear in documents and notifications.

Change the header

The event's reserved duration is independent of the sum of program item durations. Changing only the time should not change the selected day; check both values before confirming.

  1. Open the event details and select the available field or edit action.
  2. On the web, click the title, date, time or duration if inline editing is available.
  3. Change one value and confirm with the save button or Enter.
  4. To discard the change, use cancel or Escape.
  5. After saving, check the header and any conflict warning.

If someone else saved first

The app checks the version of the record being edited. A conflict means the data changed after you opened the form. Do not press Save repeatedly hoping to force your version through. Keep your unsaved text, refresh the current state and compare the differences.

A plan does not need separate publishing in the new model. After a successful save, authorized people can read the changes. Creating a plan and adding a lineup still does not mean invitations have been sent or participants have confirmed.
