Event lineup and people assignments
Add individuals or groups, work with sections and roles, and include people without assignments.
A lineup assigns people to a specific date
The organization's people list describes memberships. Sections describe ongoing functional groups, while an event lineup identifies who is expected to take part on a particular date. Removing someone from an event program is not the same as deleting their account or membership.
You can add a person without an internal team, section or role. They appear under No section. Small organizations therefore do not need an elaborate structure just to schedule a few people.
Add participants
- Open the event and Lineup.
- Choose the general Add people action or the action beside a specific section.
- Search for people and use section or role filters if they help.
- Select one person, several people or the visible group.
- Check the section and role; empty assignments are valid if they are unnecessary.
- Confirm and check the list and initial Planned status.
Sections and empty positions
The view can group the lineup by sections and roles. Empty sections help you spot missing functions; displaying them does not mean an invitation has already been added. If they make the view harder to read, use presentation settings if that client offers them.
Someone already added to an event should not appear a second time when selected again through bulk adding. Check their existing assignment instead of expecting two parallel entries. Regular section roles can help with selection, but the event assignment remains a specific decision by the organizer.
Adding someone does not send a message
The initial Planned status means the person has been saved in the lineup. Selecting them from a list does not send an invitation. A participant with the appropriate access scope may see the event before a message arrives, because access and delivery are independent.
When the lineup and program are ready, send invitations manually or deliberately activate the schedule. Then check responses rather than just the presence of a name on the list. This distinction prevents a plan from being mistaken for confirmed participation.
Correcting assignments and access
Permission to edit a program does not necessarily grant lineup management. If you can see songs but cannot add people, ask the owner to check your role's scope. A role with broad read access also does not mean permission to change other people's statuses.
Removing someone from an event removes access based solely on that assignment. They may still have independent access from another role. Check the whole permission model before assuming lineup removal should hide the plan from every former participant.
