Participation statuses and your response
Recognize planning, invitations, confirmations and declines.
What a status means
A status applies to one event. Participation on another date has its own response. Color is a visual aid; also check the label, because a name appearing on a list does not mean confirmation.
| Status | Meaning |
|---|---|
| Planned | The person is in the lineup; this does not mean an invitation was sent |
| Invited | Awaiting a response after an invitation or manual status change |
| Confirmed | Recorded agreement to participate |
| Declined | Recorded refusal to participate |
Confirm or decline your own participation
Opening a link alone does not save a decision. If your session has expired, sign in first and return to the event. When offline, responding requires reconnecting.
- Open the event from the list, Overview or an invitation link.
- Check the date, time and assigned function.
- Choose confirm or decline and wait for the save to complete.
- Check the resulting status near the header or your own entry.
- To change your decision, click the saved status or open the available response form.
An organizer changing a status
Someone authorized to manage the lineup can open a participant and set a status manually. This is useful after a phone conversation or confirmation outside the app. Other participants do not automatically receive permission to change someone else's response.
Manually marking someone Invited is not proof that ConcertAmi actually sent anything. Do not use it to trigger email. To send a real message, choose the appropriate send action and check the result.
Declining and program visibility
Declining does not automatically remove someone from the lineup. In the latest model, they retain read access from the assignment but may lose program editing granted solely through participation. Other independent permissions can still apply.
After a decline, the organizer should find a replacement and check the assignment. Do not assume the app will automatically invite another person or rebuild the section. A status describes a decision; it is not an automatic replacement mechanism.
Check completeness before the event
Review the lineup by section and find people who have not responded. Send a reminder according to your organization's rules. If someone confirmed outside the app, set the status deliberately and tell them about any date changes.
After changing the date, check people's availability again. A previously saved response does not replace a conversation about a new date. The intended result is a clear list of actual decisions for the specific event.
